Systematisation is the best way to grow your business and ensure sustainable growth. Systematising the processes of your business gives everyone a clear understanding about what they must do, allowing them step out from tactical and managerial posts and deliver tangible results and be accountable for their actions. But this requires a structure that enables you to write down the ‘rules’ of your business, so that routine tasks can take care of themselves, freeing up time to focus on the tasks that matter most. A company management system is designed to accomplish this objective.

A management system for a company aims to create a framework of policies and procedures, as well as guidelines which ensure that all functions of an enterprise are carried out in accordance with the best practices. They are designed to accomplish a variety of corporate objectives including improving efficiency of operations, financial success, client relationships and product quality, environmental performance, worker safety and compliance with the law.

They are usually based on the PDCA cycle and involve creating processes that document, analyze and implement improvements to existing processes in a systematic way. Some of these processes are designed to comply with specific standards, such as ISO 9001 quality management, ISO 14001 sustainability or ISO 27001 security of information.

A successful business management system should be user-friendly and be accessible to staff throughout the company. This could take the form of a lightweight application that allows anyone edit and publish new high-quality documents or workflows, or simply making a business flow map available via intranet. It is essential to be able to update the system quickly to ensure that it reflects current practices of the company. This helps reduce the possibility of it becoming obsolete, a common problem with more formalized manuals or software applications which require specialist knowledge to maintain.
